Automating the Fuel-Card Import: DKV Mailbox (IMAP) and UTA FTP

Overview

Instead of uploading billing files manually, FMWeb can fetch them fully automatically:

• DKV: from an email mailbox (IMAP) into which DKV sends the billing files
• UTA: from the UTA FTP server

The fetched files go through the same import as manual uploads (validation rules, approval queue, duplicate protection – article 08).

DKV: setting up the email mailbox (IMAP)

1. Open Systemadministration → Hintergrundaufgaben, tab „DKV Tankdaten" (DKV fuel data).
2. Configure the mailbox:

1. Use „IMAP Verbindung testen" (Test IMAP connection) to check the credentials.
2. Enable and save. (Saving with the task enabled is only possible if the connection is valid and a fallback client is selected.)

What does the fallback client do?

DKV files can contain transactions for several clients. FMWeb automatically assigns each row to the correct client based on the license plate. Rows whose license plate is not found in any client end up with the Fallback-Mandant (fallback client) in the approval queue and can be assigned manually there. Without a fallback client, automatic fetching is disabled.

UTA: setting up FTP fetching

For UTA, FMWeb fetches the files via (FTPS) FTP:

Connection and path tests are available („FTP-Verbindung testen", i.e. Test FTP connection, and a UNC path test).

Monitoring

• Fetched files appear as new Import-Läufe (import runs) (Tankkarten Import → Import-Läufe); the menu item shows the number of unprocessed files as a badge.
• Technical errors (connection, credentials) appear in the „Logs" tab of Hintergrundaufgaben (Background Tasks) and in System Monitoring (article 16).
