Changing a Licence Plate, Transferring a Plate and the Vehicle Registration Assistant
Overview
For everything to do with licence plates and registration, the vehicle file offers three tools: the "Kennzeichen ändern" (Change licence plate) dialog for re-registering the same vehicle, the "Kennzeichenübernahme" (Plate transfer), where the plate moves to a new vehicle and the old vehicle is decommissioned, and the "Fahrzeugschein-/Fahrzeugbrief-Assistent" (Vehicle registration document assistant) for structured entry of the registration data.
Changing a licence plate (re-registration)
You can reach the dialog in two places: from the action bar of the file (WebAdmin only) and – for every user with editing rights – via the "Kennzeichen ändern" button in the Kennzeichen Historie (Licence plate history) card (Technik tab → "Kilometerstand & Verbrauch", article 35).
Fields in the dialog:
- Aktuelles Kennzeichen (Current plate – display only)
- Neues Kennzeichen (New plate – mandatory; otherwise "Bitte geben Sie ein neues Kennzeichen ein." / Please enter a new licence plate.)
- Gültig ab (Valid from – pre-filled with today)
- Historie speichern (Save history – enabled by default)
With "Historie speichern" enabled, FMWeb closes the previous history entry as of the effective date and creates a new one. The Kennzeichen Historie then shows, per row, Kennzeichen, Von, Bis, Km-Stand and Angelegt (Plate, From, To, Mileage and Created) – so every re-registration remains traceable, for example when assigning old fuel receipts.
Using the copy icon in the action bar ("Fahrzeuge mit gleichem Kennzeichen" / Vehicles with the same plate), you can check whether other files carry the same plate and jump straight to them.
Plate transfer (WebAdmin only)
The Kennzeichenübernahme (Plate transfer) in the action bar is intended for the case where a plate is to pass from the old vehicle to a successor vehicle:
- FMWeb automatically creates a new vehicle and transfers the plate to it.
- The source vehicle is permanently decommissioned – the operation cannot be reversed.
- Before it runs, you must confirm the safety prompt via a checkbox; FMWeb then opens the file of the new vehicle directly.
Contract, insurance and driver data are not carried over – maintain these on the new vehicle afterwards (article 33).
Vehicle registration document assistant
You start the assistant on the Technik tab → Fahrzeugschein-Details (Registration document details) via "Fahrzeugschein-Assistent". It guides you through the registration data in numbered steps and adapts to the country of your client (Mandant):
- Germany (5 steps): HSN/TSN → document & keeper → identity & engine → weights, axles & trailer → emissions, tyres & remarks; switchable between "Alter Fahrzeugschein" (old-style registration) and "Neuer Fahrzeugschein" (new-style registration; the field numbers follow the chosen document layout)
- Austria (5 steps) and Switzerland (4 steps) with correspondingly adapted steps
In the first step you search for the vehicle by HSN (2.1) / TSN (2.2) in the vehicle catalogue ("Suchen" → "Daten übernehmen" / Search → Apply data) – this fills many fields automatically. Other typical fields: "Zulassung am" (Registered on), first registration, HU/TÜV (roadworthiness test), chassis number, engine displacement, power (kW), CO2. With "Fertigstellen" (Finish), the assistant transfers the values into the file; nothing is saved until you use the central Save button of the vehicle file.
Frequently asked questions
I do not see the "Kennzeichen ändern"/"Kennzeichenübernahme" buttons in the action bar. Both appear there only for WebAdmins and only for saved vehicles. Editors can reach the simple plate change via the licence plate history on the Technik tab.
All actions are greyed out. The file is probably locked by another person – see article 44.
