The Driver Import in Detail: CSV Structure, Column Mapping and Options

Overview

The driver import takes over driver lists from CSV/TXT files (max. 5 MB) – with column mapping, preview, a test run and a subsequent import. The separator (semicolon or comma) is detected automatically; values in quotation marks are read correctly. You can find the short overview in article 20; the details follow here.

Import options

OptionMeaning
"Datei enthält Kopfzeile" (File contains a header row)The first row contains column names and is not imported. FMWeb uses the header row for an automatic column mapping (it recognises common labels such as "Personalnummer", "Nachname", "E-Mail", "PLZ" …).
"Als externe Fahrer (Selbstfahrer) importieren" (Import as external drivers / self-drivers)All imported drivers receive the Fremdfahrer flag (article 49).
"Nur leere Felder überschreiben" (Overwrite only empty fields; default: on)For existing drivers, only previously empty fields are filled – existing data remains untouched. Empty cells in the file never delete existing values.

Mapping columns

Assign each required file column to a driver field; fields you don't need stay on "Nicht zugeordnet" (Not mapped). Available fields: Personalnummer (mandatory) (personnel number), salutation, surname, first name, e-mail address, street, postal code, town, mobile, date of birth, cost centre, department, Passwort (Password – sets the driver portal password) and location.

The personnel number is the key: if a driver with this personnel number already exists, they are updated, otherwise newly created. Cost centre and location are resolved via their label (or the numeric ID) from the master data; unknown values are ignored. Dates of birth are read in formats including DD.MM.YYYY and YYYY-MM-DD.

Test run and import

  1. Check the preview (the first 200 rows of the file).
  2. Run the "Testlauf" (Test run) – this fully simulates the import but writes nothing. The result shows: "Gesamt: …, neu: …, aktualisiert: …, übersprungen: …" (Total: …, new: …, updated: …, skipped: …) plus an error list.
  3. "Import ausführen" (Run import) – after a safety prompt the data is imported; the result is shown in the same format.

When are rows skipped?

  • The personnel number is missing or occurs more than once in the file
  • The personnel number is present more than once in the database (clean up legacy data!)
  • The e-mail address is invalid or already used by another driver
  • The date of birth cannot be read

Skipped rows are listed with their row number in the result; the remaining rows are processed normally.

Frequently asked questions

Are drivers deleted or deactivated by the import? No. The import only creates or updates – drivers not in the file remain unchanged.

Can I repeat the import? Yes. Thanks to the personnel-number key the import is repeatable; with "Nur leere Felder überschreiben" enabled, manually maintained data is preserved.

Where do I find the import? As the "Import" area in the driver overview or directly under /applications/drivers/import.
