Managing External Drivers (Selbstfahrer)
What are external drivers?
External drivers – in FMWeb also called Selbstfahrer (self-drivers) or Fremdfahrer (external/third-party drivers) – are people who do not belong to your own workforce but use vehicles from your fleet (e.g. rental customers, subcontractors, temporary staff). They get a perfectly normal driver file but are flagged and managed separately.
The flag is the "Fremdfahrer?" (External driver?) checkbox in the Kontakt block of the driver file.
The "Externe Fahrer" view
The driver overview (/applications/drivers/overview) has a sidebar with the areas Fahrer (Drivers), Externe Fahrer (External drivers) and Import. The "Externe Fahrer" area (also directly reachable via /applications/drivers/external) shows the same table, filtered to all drivers with the Selbstfahrer flag set – with the same functions (search, column selector, export, circular mail, delete).
Creating external drivers
You have three ways:
- "Neu" (New) in the "Externe Fahrer" area – the new file opens with the Fremdfahrer flag already set.
- Set the "Fremdfahrer?" checkbox in an existing file.
- Import in external-driver mode: during the driver import, enable the option "Als externe Fahrer (Selbstfahrer) importieren" (Import as external drivers / self-drivers) – all rows of the file are then created or flagged as external drivers (article 50).
Particularities of external drivers
- No automatic reminder e-mails: drivers with the Selbstfahrer flag are skipped for driving licence, HU/UVV and tyre change reminders (article 05). The reason is documented in the e-mail monitoring under "Übersprünge" (Skips) (article 07).
- Full file: all other functions – driving licence and examinations, leave, damages, penalty notices, documents – are available unchanged. So you can document the driving licence check for external drivers too, for example.
- Visibility: in the standard driver list, the "Selbstfahrer" column can be shown via the column selector; this lets you spot external drivers outside the filtered area as well.
Frequently asked questions
An external driver should receive reminders after all. Remove the "Fremdfahrer?" flag – then FMWeb treats them like an internal driver (provided a valid e-mail address is present).
Can an external driver use the driver portal? Yes, provided they have a password and are not blocked. You manage access and pool rights just as for internal drivers (article 47).
Does an existing driver become an external driver during import? Yes – if the import with external-driver mode enabled matches an existing driver by personnel number, that driver's Selbstfahrer flag is set.
