Recording and Editing a Damage Claim
Overview
FMWeb documents vehicle damage fully digitally: from the accident date, through costs and insurance handling, to repair approval and workshop times. Every damage claim can be linked to receipts and documents (photos, expert reports, invoices).
Where do I create a damage claim?
There are three ways to the damage form:
- Schadenübersicht (Damage overview) (
/applications/schaeden/overview) → Neu (New) button. Note: this page is not linked in the navigation menu – open it directly by URL (details in article 64). - Fahrzeugakte (Vehicle file) → Schäden (Damages) area → Hinzufügen (Add) in the damage table. The vehicle is already pre-filled in the new damage claim.
- Fahrerakte (Driver file) → Schäden area → Hinzufügen (Add). The driver is pre-filled.
With only schaeden.view, the form opens read-only (banner "Schaden anzeigen" / View damage).
The damage data
Basisdaten (Basic data): vehicle and driver (selection fields with a search function), Schadensdatum (Damage date; pre-filled: today), Gemeldet am (Reported on), Schadens-Meldezeit (Damage report time), KM-Stand (Mileage), Schadensmeldenummer (Damage report number), Kurztext (Short description) and Hinweise (Notes).
Kosten (Costs): costs, Eigenanteil (Own contribution/deductible) and the date of the Kostenausgleich (Cost settlement). Via Beleg zuordnen (Assign receipt) you link an existing receipt (suggestion list: receipts from the last 12 months, filtered to the selected vehicle).
Klassifikation (Classification): Eigenverschulden (Own fault) or Fremdverschulden (Third-party fault) (option button).
Status-Häkchen (Status checkboxes): Erledigt (Done), Behoben (Repaired), Vorfindeschaden (Pre-existing damage; damage found on handover) and Wartung (Maintenance).
Reparaturfreigabe (Repair approval): the Freigegeben (Approved) checkbox activates the Freigegeben am (Approved on) and Freigabe-Hinweise (Approval notes) fields; Freigegeben durch (Approved by) is set automatically by the system to the logged-in user.
Versicherung (Insurance): project, insurer, Schadennummer (Versicherer) (Claim number (insurer)), input tax, Ausgleich Versicherung (Insurance settlement), Fehlbetrag (VsDiff) (Shortfall), insurer note and Restschaden (Residual damage).
Werkstatt (Workshop) (expandable area): workshop in/out with the outbound time, mechanic name and workshop remark. The Ausfallzeit (Downtime) is calculated by the system itself.
The Protokoll (Log) field shows the change history of the damage claim (read-only).
Receipts and documents
The Belege (Receipts) and Dokumente (Documents) tabs only become available after the damage claim has been saved once.
- Belege: shows all receipts linked to the damage claim (receipt no., date, cost type, costs). With Beleg erstellen (Create receipt) you create a new receipt directly from the damage claim – date and cost total are carried over.
- Dokumente: file photos, expert reports and correspondence at the damage claim via upload (requires the Dokumentenverwaltung / Document management licence).
Frequently asked questions
Why can't I change anything? You are missing schaeden.edit – the form is then deliberately read-only.
What happens to my entries when I click "Abbrechen" (Cancel)? If there are unsaved changes, FMWeb asks before the entries are discarded.
Where do I see open damage claims per vehicle? In the Schadenübersicht (Damage overview) with the status filter Offen (Open) (article 64) – and as a return risk in the leasing return cockpit (article 13).
