Fahrdienstauftrag (FDA): Requesting and Managing Trips with a Driving Service
Overview
The Fahrdienstauftrag (FDA; chauffeur/driving-service order) extends the trip request with a detailed order form - typical for organizations with their own driving service: who orders the trip, where does it start, what is the occasion, is a professional driver needed? The FDA is only available in the "Fuhrparkleiter vergibt das Fahrzeug" (fleet manager assigns the vehicle) booking workflow and is enabled in the WebRes settings (Article 95). When the FDA is enabled, the ride-sharing option (Mitfahrgelegenheit) is automatically disabled.
The FDA in the booking process
If the FDA is enabled, the reservation wizard gains an additional Fahrdienstauftrag tab between Dateneingabe (Data Entry) and Übersicht (Summary). Destination, start/end date and departure time are pre-filled from the data-entry step. With "Fahrantrag stellen" (Submit trip request) in the summary, the reservation and the FDA are saved together and linked to each other.
The form fields
The field labels are configurable per tenant (via the stored FDA form texts); in the standard configuration the form comprises:
- Besteller (Orderer): department, contact person, telephone, room
- Auftrag (Order): date from/to, departure time, point of origin (drop-down list), place of departure, destination, postcode/town, street/no., note
- Anlass (Occasion): purpose of travel (drop-down list) with a note field, event start/end, return time
- Optionen (Options): e.g. professional driver, self-driver, documents, no vehicle deployment
- Bemerkungen (Remarks): freely configurable check-box options defined by the tenant
The drop-down lists (departments, points of origin, travel purposes) and the remark options are maintained by K-SOFT or your administrator in the tenant's master data.
The FDA after submission
For reservations with a linked FDA, the additional FDA action or button appears everywhere:
- in the Fahrerportal (driver portal) dashboard (the "Offene Reservierungen" / Open Reservations and "Alle Reservierungen" / All Reservations tabs of the WebRes managers),
- on the Termin bearbeiten (Edit Appointment) page in the driver portal,
- in the back-office Buchungsportal (booking portal) (Article 99) and its editing page.
Clicking it opens the Fahrdienstauftrag in a dialog. There, authorized users can review, adjust and save all details and remark options - for example when the driving service corrects the return time or confirms options.
Frequently asked questions
The "Fahrdienstauftrag" tab does not appear during booking. In the WebRes settings, check that the "Fuhrparkleiter vergibt das Fahrzeug" (fleet manager assigns the vehicle) workflow is selected and the "FDA ist aktiviert?" (FDA is enabled?) option is set.
Why can't I combine the FDA with ride-sharing? The two functions are mutually exclusive; enabling the FDA automatically switches off the ride-sharing option.
The field labels don't match our organization. The FDA form texts are stored per tenant - contact support (Article 17) to adjust the labels or remark options.
