Email Settings: Enabling Info Mails per Client

Overview
While the Mail Task (see article 01) handles the technical sending, under E-Mail Einstellungen (Email Settings) you define, per client (Mandant), which notifications are generated: HU/UVV reminders, tyre changes, driving-licence checks, lease warnings and reports.
You will find the page under Systemadministration → E-Mail Einstellungen (/applications/settings/mailSettings). All settings apply only to the currently logged-in client.
The „Allgemein" (General) tab – the basic switches

| Infomails sollen versendet werden? (Send info mails?) | Master switch. If it is off, no automatic notification is generated for this client – regardless of all other settings. |
| Absenderinformationen auswählen (Select sender information) | Choose a user with the fleet-manager flag. Their name, email and phone appear in the template placeholders ({{ fleet_manager.* }}) – e.g. in the signature. |
| Versand an folgendem Wochentag durchführen (Send on the following weekday) | The automatic notifications are generated once a week on the chosen weekday (default: Thursday). |
Good to know: The notification service runs once a day. However, it only generates info mails if the current day matches the configured weekday. Changes to the settings therefore only take effect on the next configured send day.
The other tabs
- Wartung (Maintenance) – HU and UVV/DGUV reminders → article 04
- Reifenwechsel (Tyre change) – seasonal tyre-change reminders → article 05
- Führerscheine (Driving licences) – reminders for driving-licence checks → article 05
- Poolfahrzeugdisposition (Pool-vehicle scheduling) – email sending for reservations from the Fahrerportal (driver portal) (template + activation)
- Leasing (Leasing) – warnings about expiring, over-mileage and under-mileage lease contracts → article 06
- Berichte (Reports) – the consolidated lease mileage projection report → article 06
The same pattern applies to every notification type:
- Enable (tick the checkbox)
- Set the Vorlaufzeit (lead time) in days (how many days before the due date the recipient is informed)
- Select an email template (without an assigned template, no mail is generated → article 03)
Checklist: to make sure mails really arrive
- ✅ Mail Task active and the client included in the Mandanten-Auswahl (client selection) (article 01)
- ✅ „Infomails sollen versendet werden?" (Send info mails?) enabled
- ✅ Sender selected
- ✅ Desired notification type enabled and a template assigned
- ✅ Recipients maintained (drivers with a valid email address, without a block)
