Vehicle Record: Purchase, Financing, and Vehicle Tax
Overview
The Kauf (Purchase) tab of the vehicle record (direct link: /applications/vehicles/addoredit/{id}?section=kauf) bundles all acquisition, financing, depreciation, and tax data of a purchased vehicle. For leased vehicles you maintain the Verträge (Contracts) tab instead (Article 38) — both can be used in parallel, e.g. when purchasing after the end of a lease.
The tab is divided into three sub-areas: Kauf-Infos (Purchase info), Steuer-Info (Tax info), and Notiz (Note).
Kauf-Infos (Purchase info)
Card "Kauf" (Purchase): acquisition data and financing
- Fahrzeugzustand (Vehicle condition) ("neu" / "gebraucht" — new / used), Kaufdatum (Purchase date), Erstzulassung (First registration), km beim Kauf (km at purchase), Bestellnr. (Order no.)
- Kaufbetrag (Purchase amount), Finanziert (Financed) (financed portion), Listenpreis (List price), Flottenrabatt (%) (Fleet discount, %)
- Baujahr (Year of manufacture), Baumonat (Month of manufacture), Garantie bis: (Warranty until:), Nutzungsmonate (Months of use), EOL-Datum (EOL date — planned end of use)
- Note at the bottom of the card: "Alle Beträge inkl. MwSt. (brutto)" (All amounts incl. VAT (gross))
Card "Halter / Zuordnung" (Keeper / Assignment):
- Halter (Keeper) (selection from the keeper addresses) — with the pencil icon ("Halter bearbeiten" — Edit keeper) and plus icon ("Halter neu" — New keeper) you create keeper addresses directly from the record; the dialog asks for name (required), street, postal code, town, contact person, phone, fax, and email
- Fahrgestellnummer (Chassis number) (display only — it is maintained on the Technik tab, Article 35)
- Pool, Kostenstelle (Cost center) (shows the stored info of the selected cost center), Betriebsbereich (Operating area), and Bereich (Area) (display only)
Card "Abschreibung" (Depreciation): AfA/Monat (Depreciation/month), Buchwert (Book value), AfA bis (Depreciation until)
Card "Kennzeichnungen" (Flags): the flags Fahrzeug-Vermietung (Vehicle rental), Mietwagen (Rental car), Werkstattwagen (Workshop car), Sponsorenfahrzeug (Sponsor vehicle), plus Anlagen-Nr. (Asset no.) and Hinweis zum Sponsor (Note on the sponsor)
Steuer-Info (Tax info)
The card "Steuer / Finanzamt" (Tax / Tax office) records the vehicle tax:
- Steuerbefreiung (Tax exemption) (checkbox) and befreit bis (exempt until)
- Nächste Zahlung (Next payment) and Zahlbetrag (Payment amount)
- KFZ-Steuernummer (Vehicle tax number)
- Finanzamt (Tax office) — here too with "Finanzamt neu" / "Finanzamt bearbeiten" (New / Edit tax office) directly from the record
- per Bankeinzug (via direct debit) and Vorsteuerabzugsberechtigt (Entitled to input-tax deduction)
Notiz (Note)
Free-text field for internal notes on the purchase (up to 5,000 characters).
Saving and locking
The purchase fields are saved together with the rest of the record via the central Speichern (Save) button. The fields are read-only if
- you lack
vehicles.edit(notice "Sie haben nur Leserechte für dieses Fahrzeug." — You only have read rights for this vehicle.), - the record is currently being edited by another person (Article 44), or
- the vehicle is sold, decommissioned, or inactive — such vehicles are completely locked against changes.
Frequently asked questions
Where do I enter leasing installments? Not on the Purchase tab — leasing terms belong on the Verträge (Contracts) tab (Article 38). The "Finanziert" field only documents the financed portion of a purchase.
Why can't I change the chassis number here? It is maintained centrally in the Technik area and only displayed on the Purchase tab, so that no conflicting values arise.
