Maintenance and Appointments in the Vehicle Record: HU, UVV, and Inspections

Module: Stammdaten (Master data) → Fahrzeuge (Vehicles) → "Wartung" / "Termine" tab (Maintenance / Appointments)

Audience: Fleet managers, workshop coordination

Overview

The Wartung (Maintenance) tab (direct link: /applications/vehicles/addoredit/{id}?section=wartung) records all of the vehicle's inspection and maintenance dates. Important: the HU and UVV data maintained here are exactly the fields that feed the automatic email reminders (Article 04). Overdue dates are additionally flagged by the record with the red banner "Termine sind überfällig!" (Appointments are overdue!).

Note: HU is the German statutory technical inspection (comparable to the MOT); UVV refers to the mandatory accident-prevention inspection of commercial vehicles.

"Übersicht" (Overview) sub-area

  • Wartungsvertrag (Maintenance contract) flag
  • Anstehende Termine (Upcoming appointments): automatically determined list with appointment type, current reading, next appointment, interval, and status indicator Überfällig / Bald fällig / OK (Overdue / Due soon / OK)
  • Terminübersicht (Appointment overview) (display only): HU (labeled §57a in Austria), UVV Elektrik (DGUV70) (UVV electrical, DGUV70), UVV Fahrgestell (UVV chassis), Sonderprüfung (SP) (Special inspection), as well as the ATP appointments (cooling, leak-tightness, pressure/box)

"Wartungstermine" (Maintenance dates) sub-area (maintaining the data)

  • Inspektion (Zeit) (Inspection (time)): "Inspektion alle (Monate)" (Inspection every (months)), "Letzte Inspektion" (Last inspection), "Nächste Inspektion" (Next inspection)
  • Inspektion (km) (Inspection (km)): "Letzte Inspektion (km)" (Last inspection (km)), "Intervall (km)" (Interval (km)), "Nächste Inspektion (km)" (Next inspection (km))
  • Fällige Prüfungen (Due inspections): HU/§57a, UVV Fahrgestell (UVV chassis), UVV Elektrik (DGUV70) (UVV electrical, DGUV70) — these three date fields control the reminder emails
  • Sonderprüfung (SP) (Special inspection): only for truck/bus/trailer vehicle classes (Article 42)
  • Betriebsstunden / Starts (Operating hours / Starts): depending on the configured odometer type, separate cards with "Wartung alle" (Service every), "Letzter Stand" (Last reading), and "Vorwarnung" (Advance warning)
  • ATP-Prüfungen (ATP inspections) (each "nächste" and "zuletzt" — next and last) and Gasanlage (Gas system) (inspection obligation, last/next inspection, interval)

"Autohaus" (Dealership) sub-area

Responsible workshop (Autohaus (Dealership), Ansprechpartner (Contact person), Telefon (Phone)) and Motoröl (Engine oil) details (name, liters, price, supplier, "Öl wird zur Wartung angeliefert" — Oil is delivered for the service). The dealership address is automatically suggested as the location when creating workshop appointments.

"Zusatztermine" (Additional appointments) sub-area

Freely definable, recurring obligations — for each entry with Terminart (Appointment type), due date by date ("Fällig am" — Due on) or by mileage ("Fällig bei (km)" — Due at (km)), a note, and a completed flag. You maintain the appointment types themselves via "Terminarten verwalten" (Manage appointment types). For free text, there are also the areas "Behebbare Schäden" (Repairable damage) and "Nicht behebbare Schäden" (Non-repairable damage).

"Termine" (Appointments) tab (calendar)

The separate Termine (Appointments) tab (?section=appointments, requires the calendar license) lists the vehicle's calendar entries (start, end, subject, location, note) with a date filter and export. With "Werkstatttermin anlegen" (Create workshop appointment), you create an appointment directly — prefilled with the assigned driver and the dealership address. In the appointment dialog, options include start/end time, "Ganztägig" (All day), "Privat" (Private), Erinnerung (Minuten vorher) (Reminder (minutes before)), order number, cost center, driver, and start/end mileage. If a driver is already scheduled in the same period, FMWeb prevents the double booking depending on the tenant setting.

Frequently asked questions

The driver isn't getting an HU reminder — what's the cause? Check: is the HU date set in the "Wartungstermine" (Maintenance dates) sub-area? Is a driver with an email address assigned (Article 34)? Are reminders active for the tenant (Article 04)? Diagnosis: Article 07.

Who may change maintenance data? Only users with maintenance.edit and vehicles.edit; the editing lock (Article 44) and the write protection of sold/decommissioned/inactive vehicles also apply.
