Vehicle Utilization Report: Bookings and Hours per Vehicle
Overview
The Fahrzeugauslastung (Vehicle Utilization) report condenses all calendar bookings of a period per vehicle: how often was a vehicle booked, how many hours was it in use, how many kilometres were covered? Heavily used pool vehicles appear at the top, while idle vehicles stand out at the bottom of the list – a good basis for decisions about fleet size and vehicle distribution.

Key figures (summary)

Table columns
- Kennzeichen (License plate) and Fahrer (Driver) (the vehicle's primary driver)
- Buchungen (Bookings) – number of calendar entries in the period
- Stunden gesamt (Total hours) – sum of the booking durations (end minus start)
- Stunden durchschnitt (Average hours) – average duration per booking
- Strecke (KM) (Distance in km) – sum of distances from start km/end km, where recorded
- Letzte Buchung (Last booking) – start of the most recent booking
By default the table is sorted in descending order by "Stunden gesamt" (Total hours).

For a monthly or quarterly view, simply adjust Von/Bis (From/To) and click Aktualisieren (Refresh).
Data prerequisites
- The basis is calendar entries with a vehicle reference – typically reservations from the WebRes driver portal (article 19) or manually created appointments.
- Bookings without an end time are counted as 0 hours; distances count only if start km and end km were recorded.
- Vehicles without bookings in the period do not appear – you recognise them by their absence, not as a zero row.

Frequently asked questions
Why do the kilometres differ from the Mileage report? Vehicle Utilization calculates using the km figures of the calendar bookings, whereas the Mileage report (article 74) uses the odometer readings of the receipts. Depending on data maintenance, the values can differ.
Can I see a utilization rate as a percentage? Not directly – export the hours to Excel and put them there in relation to the available time of your observation period.
