Managing Addresses: Maintaining Suppliers, Workshops and Business Partners Centrally
Overview
The address module (/applications/addresses/overview) is your tenant's central address book. Here you maintain all companies and offices that FMWeb refers to elsewhere: suppliers and filling stations for receipts, car dealerships and workshops, insurers, lessors, authorities for penalties, or keeper companies for the vehicle registration. An address, once created, is available everywhere as a selection – typo duplicates and scattered contact details are eliminated.
The address overview
- The table is grouped by address type by default and hides inactive addresses (pre-filter "Inaktiv? = Nein" / Inactive? = No – changeable at any time via the column filter).
- Columns: Typ (Type), Firma (Company), Straße (Street), PLZ (Postal code), Ort (City), Postfach PLZ (P.O. box postal code), Postfachbez. (P.O. box designation), E-Mail Adresse (E-mail address), Liefernummer/Kundennummer (Delivery number/Customer number), Inaktiv? (Inactive?).
- Toolbar: Suche (Search) as well as export as CSV and PDF; page size 50 entries.
- With
addresses.edit, the green plus button for creating appears; the pencil icon on each row opens the address for editing. With read-only rights, the file opens write-protected with the note "Sie haben nur Leserechte für diese Adresse." (You only have read rights for this address.)
Creating or editing an address
Direct call: /applications/addresses/addoredit/{id} (0 = new address). The following fields are available:
- Adresstyp (Address type) (see below), Firma (Company) and Bereich (Area) (e.g. department/branch)
- Straße, PLZ, Ort (Street, Postal code, City), alternatively Postfach PLZ (P.O. box postal code) and Postfach (P.O. box), plus the Land (Country) (searchable selection list)
- Ansprechpartner (Contact person), Telefonnummer (Phone number), Fax, E-Mail Adresse (E-mail address)
- Liefer-/Kundennummer (Delivery/Customer number) – your customer number with the partner or their supplier number
- Checkbox "Adresse deaktivieren" (Deactivate address) (see below)
After saving, FMWeb confirms with "Speichern erfolgreich" (Save successful); Zur Übersicht (To the overview) leads back to the list.
The address type controls how it is used
The type determines in which selection lists the address is offered:
| Address type | Typical use in FMWeb |
|---|---|
| Lieferant (Supplier) | Supplier selection on receipts, oil supplier in the dealership/workshop area |
| Autohaus (Car dealership) | Dealership/dealer selection in the purchase and maintenance context of the vehicle file |
| Werkstatt (Workshop) | Workshop addresses for repair and service |
| Versicherung (Insurance) | Insurer selection in the insurance area (Article 37) |
| Leasing | Lessor/company on contracts (Article 38) |
| Behörde (Authority) | Fine offices for penalties (Article 67) |
| GesellschaftTochter (Company/Subsidiary) | Keeper selection in the vehicle registration/purchase area |
| Finanzamt (Tax office) | Tax office assignment for the vehicle tax |
| Bank, Kunde (Customer), Fahrzeugschein (Vehicle registration), Unfallzeugen/-gegner/-beteiligter (Accident witnesses/opponents/participants) | further assignments, e.g. for financing and damage recording |
Many of these selection lists additionally offer a direct dialog with which you can create a missing address without leaving the vehicle file – it is always saved in the central address module.
Deactivate instead of delete
For partners no longer used, set the "Adresse deaktivieren" (Deactivate address) flag. The address disappears from the overview's default filter, but historical receipts and contracts keep their reference. In the address analysis, you can filter specifically with the "Nur aktive Adressen" (Only active addresses) toggle.
Frequently asked questions
Why doesn't my address appear in the supplier/insurer selection? Check the Adresstyp (address type) – the selection lists filter by type. An address created as "Werkstatt" (Workshop), for example, does not appear as an insurer.
Where do I see how much turnover is attributable to an address? In the Adressen Auswertung (Address Analysis) (/applications/statistics/addressstatistics): number of receipts, total amount and last receipt per address (Article 77).
Can I export addresses? Yes, via the table toolbar as CSV or PDF (general table operation: Article 118).
