Overview

A new employee should be able to drive from day one, receive reminders and make bookings in the driver portal. This checklist summarizes the six steps needed to achieve that in FMWeb - each with a link to the detailed article.

The checklist

  1. Create the driver - with e-mail address. Create the driver under Stammdaten → Fahrer (Master Data → Drivers) and, alongside name and personnel number, be sure to fill in the e-mail address - it is a prerequisite for all automatic reminders and must be unique across the client (article 45). The "Fahrer ohne E-Mail" (Drivers without e-mail) panel in the overview will later show you whether anyone was forgotten.
  1. Maintain driving-licence data and check interval. Record the licence classes and presentation dates and check the control interval - for new drivers it is preset to 180 days (articles 46, 45). If you use FleetSync, also enter the Fleet-ID (article 116).
  1. Set up driver-portal access. Use the "Kennwort zurücksetzen" (Reset password) action to assign the initial password and configure the portal options on the Rechte (Rights) tab (article 47). The driver signs in from the start page via "Als Fahrer anmelden" (Sign in as driver).
  1. Assign a vehicle or grant pool access. You assign a fixed vehicle at the vehicle - the "Fahrer" (Driver) field on the data sheet of the vehicle record (article 34). Pool drivers instead receive access to the appropriate vehicle pools on the "Rechte" (Rights) tab (articles 47, 30).
  1. Check the info-mails. Verify once that the master switch "Infomails sollen versendet werden?" (Should info-mails be sent?) is active for the client and that the driving-licence, HU/UVV and tyre-change reminders each have a template assigned (articles 02, 05). Only then does the new driver automatically receive mail.
  1. Brief introduction to the driver portal. Show the driver the portal basics (article 19): how to create a reservation (article 96) and how to report mileage, refuelling/charging, damage and tyre changes via the vehicle feedback (article 102).

Common pitfalls

  • Driver receives no reminders: missing or invalid e-mail address, a driver block set, or info-mails disabled (article 07).
  • Driver sees no vehicles in the portal: pool assignment is missing on the "Rechte" (Rights) tab, or the client's WebRes settings restrict the selection (articles 47, 95).

Tip

If several drivers arrive at once (e.g. during a takeover), use the Fahrer-Import (Driver Import) via CSV instead of creating them individually: column mapping, the "Nur leere Felder füllen" (Fill empty fields only) option and initial passwords in a column - this lets you handle steps 1 to 3 for all drivers in a single pass (article 50).
