Vehicle Data Sheet: Master Data, Driver Assignment, and Quick Creation
Overview
You maintain a vehicle's master data on the Übersicht (Overview) tab of the vehicle record (/applications/vehicles/addoredit/{id}). The separate Datenblatt (Data sheet) tab (?section=datenblatt) additionally consolidates the same data as a read-only, exportable data sheet. Above the tabs, a summary band permanently shows the license plate, make/vehicle class, driver, mileage, and leasing status.

Quick creation of master data (plus icon)
If a make, model, vehicle class, drive type, or location is missing, click the plus icon next to the respective field ("Neu anlegen" — Create new). Just the name is enough — if the name already exists, FMWeb automatically uses the existing entry, so no duplicates arise. Full catalog maintenance remains under Stammdaten → Allgemeine Stammdaten (Article 20).
Assigning a driver
The driver ↔ vehicle assignment is done via the Fahrer (Driver) field. It determines who receives HU/UVV and tyre reminders (Articles 04, 05).
- Quick creation: the person icon ("Fahrer hinzufügen" — Add driver) opens a dialog with Vorname, Nachname, E-Mail (required), Telefon, Handy (First name, Last name, Email, Phone, Mobile). The email address is the uniqueness criterion: if a driver with this address already exists, that driver is assigned instead of creating a duplicate. If the existing driver is outside your access scope, the message appears: "Ein Fahrer mit dieser E-Mail-Adresse existiert bereits, liegt aber außerhalb Ihres Zugriffsbereichs." (A driver with this email address already exists but is outside your access scope.)
- Driver-change prompt: if the cost center or location of the new driver differs from the vehicle's, FMWeb asks: "Soll die Kostenstelle und der Standort vom Fahrer auf das Fahrzeug übernommen werden?" (Should the cost center and location be transferred from the driver to the vehicle?) — with Übernehmen (Apply)/Nein (No) and the option "Nicht mehr fragen" (Don't ask again) (your answer is then remembered per user).
Status actions
In the record's action bar, you toggle the statuses Verkauft (Sold), Inaktiv (Inactive), Stillgelegt (Decommissioned), and In Werkstatt (In workshop) with a click; the change is saved immediately. Caution: a sold, decommissioned, or inactive vehicle is subsequently locked against further editing. Via the copy icon ("Fahrzeuge mit gleichem Kennzeichen" — Vehicles with the same license plate), you find old records with an identical license plate.
The "Datenblatt" tab
The data sheet shows the most important values read-only, grouped by Identität (Identity), Technik (Technical data), Kauf (Purchase), Leasing, Versicherung (Insurance), Termine & Verwaltung (Dates & administration), and Tankkarten (Fuel cards). Via "Als PDF exportieren" (Export as PDF) and "Als CSV exportieren" (Export as CSV), you produce a handover or inspection document; missing values appear as "–".
Frequently asked questions
I don't see a plus icon next to Marke/Fahrer. Quick creation requires, in addition to vehicle editing, the matching master-data or driver permissions (Article 18).
Why are all fields greyed out? Either vehicles.edit is missing, the record is locked by another person (Article 44), or the vehicle is sold/decommissioned/inactive.
